About the role
Confidential client — US-based food manufacturing company.
Full-time Executive Assistant supporting the Chief Operating Officer. Own the COO's operating cadence: calendar, inbox, travel, meeting prep and notes, follow-ups, and confidential information — with enough judgment to anticipate needs and run with minimal supervision.
What you will own
- Independently manage a complex executive calendar across time zones; protect focus time and resolve conflicts
- Triage and draft responses for a high-volume executive inbox; escalate only what needs the COO
- Book and reconcile domestic and international travel (flights, hotels, ground, visas/docs as needed)
- Prepare meeting briefs, agendas, and materials; capture notes and drive action-item follow-ups to closure
- Track open loops, commitments, and cross-functional follow-ups so nothing drops
- Handle confidential operational, people, and commercial information with discretion
- Anticipate needs before they are asked; light project and ops coordination as the COO's right hand
Who you are
- 5+ years as an Executive Assistant supporting C-level leaders (COO/CEO strongly preferred)
- C1+ English (spoken and written); clear, polished written communication
- Fluent in Google Workspace and/or Microsoft 365; confident with travel booking tools
- High discretion, strong judgment, and the ability to operate with minimal supervision
- Reliable overlap with US Eastern business hours from LATAM
Nice to have
- Exposure to manufacturing, food, or operations-heavy environments
- Notion, Asana, or similar project tools
- Spanish (bilingual is a plus, not required)
